Our registered office is No.159, Field Maple Barns, Weston Green Road, Weston Longville, Norwich, Norfolk, NR9 5LA. What we collect and why
We collect personal information in four situations. In each case we say what we collect, why, and the legal basis we rely on under UK data protection law.
When you ask us to get in touch
If you complete an enquiry, demo or contact form we collect your name, work email address, organisation, and anything you choose to tell us about your systems, timeframe or what you need. We use this to reply, to arrange the conversation you asked for, and to keep a record of it. Our legal basis is our legitimate interest in responding to business enquiries and, where you are asking about a purchase, taking steps at your request before entering into a contract.
When you use the Phase 2 readiness scorecard
The scorecard runs in your browser. While you answer, your nine answers are kept in your browser’s session storage, which is cleared when you close the tab; a finished read-out is carried in the link the page gives you. They are not written to a database and are not sent to us unless you ask for your action plan by email. If you do, we collect your work email address, organisation and, optionally, your name, together with your answers and the score they produce. We use these to send you the report you asked for and to keep a record of that request. Our legal basis is our legitimate interest in providing something you have asked us for. The answers describe your organisation’s processes, not any individual.
When you ask for updates
If you tick the box to receive occasional updates about Awaab’s Law and key2housing, we use your email address to send them. Our legal basis is your consent, which you can withdraw at any time using the unsubscribe link in any email or by contacting us. Asking for updates is separate from asking for your report: you can have one without the other.
When you visit the site
We measure how the site is used with Plausible Analytics, a privacy-focused service that does not use cookies and does not store personal identifiers such as IP addresses. Analytics requests are served through our own domain. The information we see is aggregated — pages viewed, referring sites, country, device type — and cannot be traced back to you. Our legal basis is our legitimate interest in understanding how the site performs. Our hosting provider also keeps standard technical logs, including IP addresses, for security and to keep the service running; our legal basis is our legitimate interest in the security of the site.
This site does not set cookies. The only thing it stores in your browser is the scorecard’s session storage described above.
How long we keep it
- Enquiries and demo requests: 24 months after our last contact with you, unless you become a customer, in which case the information forms part of the customer record.
- Scorecard report requests: 24 months after the request.
- Update subscriptions: until you unsubscribe, after which we keep only the minimum needed to make sure we do not email you again.
- Analytics: aggregated indefinitely; it contains no personal information.
- Technical logs: 90 days.
Your rights
You have the right to ask for a copy of the personal information we hold about you; to have it corrected if it is wrong; to have it deleted; to restrict or object to how we use it; to receive it in a portable form; and, where we rely on consent, to withdraw that consent at any time. To exercise any of these, emailcompliance@key2housing.co.uk. We will respond within one month. We may need to confirm your identity before acting on a request.
How to complain
If you are unhappy with how we have handled your information, we would like the chance to put it right — contact us first. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
